CET Booster Club Board Meeting
Minutes, March 31, 2025, Approved
Present: Trudy Gates (house manager), Cara Genesio (treasurer), Sascha Matish (president), Alisse Portnoy (secretary), Emily Wilson-Tobin (director).
The meeting was called to order at 2:05 pm.
Reflections on Curtains
Programs: The changes (e.g., fewer commercial advertisements) worked well. For future shows, involve the Student Board and Booster Board secretaries for content inclusion, checking names, and editing.
Thank you cards: The pilot worked well. More student board assistance for future shows is important.
Concessions: Connect House Manager and Concessions Volunteer for things including number of seats per show, whether there is an intermission, and the like. Trudy plans to include that step on the House Manager timeline.
Teacher/staff tickets: Maybe for folks whose classrooms get used. Could be considered for future shows.
Dress Rehearsal open to students: Using the dress rehearsal as a preview performance was a nice soft opening. Emily would like to formalize, and have student tickets for the final dress rehearsal available after performances sell out.
Adult Volunteers/Mentors
Costumes: Abby, Patricia, and Viva will continue. Kristin V helped as well. The continuity is good. We’re encouraging more borrowing than thrifting, which is working out well.
Treasurer position: The board brainstormed potential treasurers to replace outgoing Cara Genesio.
Gift cards for Quinn and Steve were approved.
Ed and Tiff are staying on, which is great for CET.
Board Elections
The timeline was distributed and works, with nominations due by April 28. A nominating committee was formed: Cara Genesio, Kristin McGuire, and Margie Morris.
If there are multiple candidates, we’ll work on voting by QR code and other methods (e.g., how FoCo elections are conducted).
The House Manager now is an appointed position, similar to Producer.
Sascha will confirm that the Booster Club bylaws available on CET’s website are the current version.
Student Board Elections
Elections will be on April 23.
Emily will manage the voting, and will use a ranked voting system.
Just Desserts
Rehearsals are April 4 and 5, with two performances on April 5. Some writing and workshops occur before April 4.
Everything is on schedule and set, including food.
Treasurer Report
The current account balance is healthy.
Reimbursement deadline for Curtains is March 31.
Consider a separate savings account for capital expenses (separate from show expenses) starting next year.
Margie and Cara currently have debit cards.
Handoff for next treasurer: In the summer, the bank account signer role will need to be transferred. Reminder: that transfer requires minutes from the board meeting at which the new treasurer is elected.
Ticketing Services
Cur8 has not been ideal.
Trudy is looking into the service that Huron and Theater Nova use: Ludus.
Lamps for Backstage: The board voted to support the purchase of backstage lights, similar to the lights CET has been borrowing from Tracy Anderson’s classroom.
Listserv from cet2009 to Google managed list
Transition will begin before the school year ends. Alisse will prepare an opt-in email.
We need to include graduate years on future registration forms.
