CET Booster Club Board Meeting
Minutes, December 9, 2025, Approved
Present: Barb Chaffer Authier (treasurer), Trudy Gates (house manager), Sascha Matish (president), Alisse Portnoy (secretary), Emily Wilson-Tobin (director).
The meeting was called to order at approximately 6:40 pm.
Reflections on Fahrenheit 451
Great show, lots of positive reviews!
Parking: Let’s try it again and put signs up early.
Food: It was hard to get people to sign up this time around.
Continue having snacks. CET will pay, rather than asking that they be donated.
Shorten the SignUp Genius.
Consider collecting money and catering one of the meals? Not for a show, at least not at this time. But continue Jerusalem Garden for Just Desserts.
Treasurer’s Report Specific to the Show
Came in slightly under on expenses and slightly over on income. Bravo to Margie!
Program: Ad income paid for the program. Get fewer programs next time.
Posters: Check with student board to see whether they’d like more so they can post them. There seemed to be enough for signatures
Ludus and donations: Ludus generates receipts for the donation of returned tickets. Most were resold. After discussion about accounting for that income, it was decided to put that income into donations for CET/the season, rather than in show accounting.
9 to 5: Next Steps
Auditions may not be in the theater because of construction.
Garage door opener, harnesses? In brainstorming stages.
The show contains use of alcohol, marijuana, and depictions of sexual harassment. That appeared as a question on reg form (want to talk about it ahead of time, etc.). Emily plans to talk about things with the company. Same for prop gun use.
CET has permission to record, but whether to record hasn’t been decided (including because of cost to CET, and whether sales of the recording will cover the costs).
Music: The band may be on stage. Brian is bringing in an assistant music director for the show.
Love Letters: Audience members asked for them at Fahrenheit 451. Bring them back for 9 to 5? The CET Board is on board. Alisse will check with Paige for student perspective, and, if yes, make copies of something on theme, like an office memo. Sascha has the pens.
New Sound and Light Cabinets, Backstage Lighting, Screen
Timing is good for new sound and light cabinets (construction and painting in the theater). Replace the big black cabinets and also maybe the file cabinets. The board agreed.
Emily requests a total of six floor lights, for backstage and also ambient light in the “lobby” so people can see photos, etc. The board agreed.
Emily would like to upgrade the screen that separates the backstage area from the lobby. The board agreed.
CET Listserv and Schoology Updates
AAPS hasn’t been responsive to questions about copying parents/guardians on messages to students. Emily sent in another IT request. Emily doesn’t mind sending additional emails to parents and guardians, using a BCC system.
Otherwise, Schoology is working great.
Alisse will work with Sascha to be sure that the CET 2009 list is updated.
Concessions Transition
Goal: bring someone on to shadow Stacey for 9 to 5.
The board brainstormed some ideas. Sascha will follow up.
Treasurer’s Report
Current balance is $31K.
Capital purchases include the soundboard and laptop.
Barb will create a template for cash sales for student in-school ticket sales and concessions/merch sales during shows. It will include, for example, cash amounts in and out.
To create some checks and balances, the house manager will download ticket sale reports and the producer will do the donations. For concessions, volunteers will total up and report cash in before giving it to the treasurer.
Remove full administrative access to Ludus for the board. The house manager and board president will have full access, and the treasurer will have view access only. The treasurer just needs totals, rather than each transaction.
Matters Arising
Program ads are working well in the current iteration.
New laptop has been purchased. Emily will get the details for archiving in the Google workspace.
Website Access: currently is producer and director. Maybe add secretary? Tabled for future discussion.
Pipeline Email: Sascha will draft and send a stand-alone email to send to the general membership with thoughts for a pipeline to eventual leadership in CET, including on the Booster Board.
